Privacy Policy

Effective date: 08 June 2026

1. Introduction

This Privacy Policy explains how Uwazi ("we", "us", "our") collects, uses, stores, and protects your personal data when you use the Uwazi platform at uwazi.net.

Uwazi is operated as a software-as-a-service platform for freelance designers and small design studios. We are committed to handling your data responsibly and transparently, in accordance with the General Data Protection Regulation (GDPR) and applicable Egyptian data protection law.

By creating an account or using Uwazi, you acknowledge that you have read and understood this Privacy Policy.

2. Data we collect

We collect the following categories of data:

Account data: Your name, email address, and password (stored as a secure hash) when you register.

Profile data: Any additional information you add to your designer profile, such as your business name or logo.

Project and client data: Information you enter about your clients and projects — including client names, email addresses, project titles, proposals, agreements, design round links, and any files you upload.

Usage data: Information about how you use the platform, including pages visited, actions taken, and timestamps. This data is used to operate and improve the service.

Payment-related data: Records of your subscription status and billing period. We do not collect or store credit card numbers or bank account details — payments are made manually via third-party transfer methods.

Communications data: Any messages you send to us via support, including your email address and the content of your enquiry.

3. How we use data

We use your data to:

  • Create and manage your account
  • Provide the Uwazi platform and all its features
  • Send transactional emails — including portal access links, approval notifications, subscription reminders, and support confirmations
  • Enforce subscription plan limits and manage billing periods
  • Respond to support requests
  • Monitor platform health, diagnose errors, and improve the service
  • Comply with legal obligations where required

We do not sell your data to third parties. We do not use your data or your clients' data for advertising purposes.

4. Data storage

Your data is stored and processed using the following infrastructure:

  • Supabase — database, authentication, and file storage. Supabase implements industry-standard security measures including encryption at rest and in transit.
  • Vercel — application hosting and deployment infrastructure. Vercel serves the Uwazi web application globally via its edge network.

Data is stored in accordance with Supabase's and Vercel's respective data residency configurations. Both providers maintain SOC 2 compliance and implement appropriate technical and organisational measures to protect your data.

All data transmitted between your browser and Uwazi is encrypted in transit using TLS.

5. Data retention

Active accounts: We retain your data for as long as your account remains active.

Deleted accounts: When you delete your account, your data is retained for 30 days to allow for restoration in case of accidental deletion. After 30 days, all associated data — including client records, projects, timeline items, uploaded files, and approval history — is permanently and irreversibly purged from our systems.

Subscription downgrade: When a paid subscription lapses, excess client and project data beyond the free tier limits is archived. Archived data is retained for 30 days and permanently deleted thereafter if the subscription is not renewed.

Support communications: Retained for up to 12 months from the date of the enquiry, then deleted.

6. Your rights

Under the General Data Protection Regulation (GDPR), you have the following rights regarding your personal data:

  • Right of access: You may request a copy of the personal data we hold about you.
  • Right to rectification: You may request correction of any inaccurate or incomplete data.
  • Right to erasure: You may request deletion of your personal data. You can initiate this by deleting your account, or by contacting us directly.
  • Right to data portability: You may request your data in a structured, machine-readable format.
  • Right to object: You may object to certain types of processing, including processing based on our legitimate interests.
  • Right to restriction: You may request that we limit how we use your data in certain circumstances.

To exercise any of these rights, contact us at info@uwazi.net. We will respond within 30 days. We may ask you to verify your identity before processing your request.

If you believe we have not handled your data correctly, you have the right to lodge a complaint with the relevant supervisory authority in your country.

7. Cookies

Uwazi uses only essential cookies necessary to operate the platform. These include session cookies that keep you logged in during your visit.

We do not use advertising cookies, tracking cookies, or any third-party analytics cookies. No cookie consent banner is required for essential cookies, but we are transparent about their use here.

8. Third-party services

We use the following third-party services to provide the Uwazi platform. Each service has its own privacy policy governing how it handles data.

We share only the minimum data necessary with each provider for the purpose of delivering the service.

9. Children

Uwazi is a professional platform intended for use by adults aged 18 and over. We do not knowingly collect personal data from anyone under the age of 18. If you believe a minor has created an account, please contact us at info@uwazi.net and we will promptly delete the account and all associated data.

10. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in the platform, our data practices, or applicable law. When we make material changes, we will notify you by email at your registered address before the changes take effect.

The effective date at the top of this page indicates when the current version came into force. We encourage you to review this policy periodically.
